PREVENTIVE MAINTENANCE, SCHEDULING & SERVICE PROGRAMS

Proactive maintenance keeps your equipment reliable, compliant, and earning money.

Xtreme Pro Services uses smart hour meters, automated tracking, and a customer portal that handles scheduling, reporting, and recordkeeping for you.

  • How often should I service my equipment?

Service intervals depend on machine hours, environment, and workload. Most manufacturers recommend engine oil and filter changes every 250 hours and hydraulic filters and oil every 500 hours, but real-world use — dust, cold starts, heavy idle — often demands shorter intervals.

Our system goes further. It monitors actual run time, environment, and usage trends to predict when each machine truly needs service. Over time, it learns your work cycles — busy harvest, slower winters — and adjusts automatically.

We can install a Smart Hour Meter that connects directly to your machine. It syncs with your customer portal and alerts both you and our system when service is due. A work order is created automatically; you just approve the schedule — no logbooks, no guesswork.

  • What’s included in a typical preventive maintenance (PM) service?

Each PM follows OEM specs but is customized by usage and age. Typical items include:

     • Engine oil and filter change

     • Fuel, air & hydraulic filter replacement

     • Full lubrication service

     • Coolant, brake, and steering checks

     • Battery and charging tests

     • Hydraulic and electrical inspection

We record live diagnostic data, take photos, and upload results to your digital service record with future recommendations.

  • Do you provide on-site PMs or do I need to bring equipment to the shop?

We perform mobile PM service anywhere in western North Dakota and eastern Montana. Trucks carry oil, filters, used-oil recovery tanks, hose-crimping tools, and OEM-level diagnostics.

Most PMs happen at your location; larger rebuilds move to our shop. For forklifts, we use a safety checklist covering the mast, carriage, forks, chains, and hydraulics.

If your machine qualifies, we log your PM and inspection directly with the manufacturer, creating a verified digital record — like a Carfax® for equipment.

  • Can you track my maintenance schedules for me?

Yes. We handle it automatically. Our system monitors run time, environment, and usage trends, learns your seasonal cycles, and adjusts service timing.

With a Smart Hour Meter, data syncs to your portal; when service is due, it alerts you and us, auto-creates a work order, and suggests time windows for approval.

Your portal shows every unit’s status — current, due soon, or overdue — plus upcoming PM dates by hour, mile, or calendar. You can export full histories with photos and technician notes anytime.

  • Do you offer fleet maintenance contracts?

Yes. Programs can be weekly, monthly, or usage-based and include:

     • Scheduled oil and filter service

     • Hydraulic and electrical checks

     • Brake, tire & undercarriage inspection

     • Digital documentation & cost reporting

Options: oil analysis, hydraulic flushing, DOT and ANSI inspections. Contract customers get priority scheduling and discounted rates.

  • What’s the benefit of a PM program versus fixing it when it breaks?

Preventive maintenance is far cheaper than downtime. Unplanned failures cost 3-5× more after towing, lost labor, and parts. PM programs extend life, control budgets, and keep documentation ready for warranty and compliance.

  • Do you log maintenance and inspection records for me?

Yes. Every PM, repair, and inspection is digitally logged with date, technician, notes, and photos in your portal. Records can be exported anytime for audits, insurance, or resale.

  • Can I view upcoming PMs for all my equipment in one place?

Yes. Your dashboard view lists each unit with color-coded status:

Green = current, Yellow = due soon, Red = overdue.

Managers can sort by site, asset, or technician.

  • Can I request or approve service online?

Yes. Log in, select your machine, describe the issue, attach photos, and submit. The request dispatches automatically to the nearest truck, and you’ll receive confirmation once scheduled.

  • Do you perform required OSHA and ANSI inspections?

Yes. We complete annual ANSI A92.24 aerial-lift and telehandler inspections and OSHA-compliant safety checks.

You receive a PDF certificate, inspection sticker, and digital record in your portal.

  • Do you offer DOT inspections for trucks and trailers?

Yes. We perform DOT annual inspections and combined PM + DOT packages for mixed fleets, ensuring documentation meets FMCSA standards.

  • Can you schedule PMs around our work hours?

Yes. We coordinate with your production schedule — early morning, overnight, or between loads — so maintenance never stops work.

  • Can you maintain a mixed fleet of trucks, forklifts, and rail movers?

Yes. We service all major makes and types — forklifts, telehandlers, rail movers, loaders, and trucks — so one provider manages your entire fleet.

  • Can I view inspection photos and service notes online?

Yes. Each completed job includes before-and-after photos, inspection sheets, and technician comments, viewable or downloadable anytime.

  • How do I know when a machine needs service early?

Watch for slow hydraulics, noisy pumps, dark oil, long crank time, or power loss.

Our monitoring system flags abnormal pressure or temperature trends before codes appear.

  • Do you perform oil and fluid analysis?

Yes. We sample engine, hydraulic, and coolant fluids and test for metals, contamination, and viscosity changes to catch wear early.

  • Do you keep my oil, filter, and fluid specs on file?

Yes. We store OEM part numbers, filter types, fluid capacities, and oil brands per unit, ensuring the correct materials every time.

  • Can you perform on-site hydraulic filtration or system flushing?

Yes. For contaminated or varnished systems we perform full filtration and hot-oil flushing using monitoring gauges to verify cleanliness and restore performance.

  • Do you provide detailed reporting or cost breakdowns?

Yes. Fleet customers receive monthly reports showing labor, parts, cost per machine, and downtime hours — helping you track ROI and budget for replacements.

  • How do I get started with a maintenance program?

Contact Xtreme Pro Services for a free fleet evaluation. We’ll inspect your current PM process, verify hours, load your equipment into our system, and show a sample schedule and cost estimate before you commit.
